Overview
In WorkBoard, there are two types of Teams that can be created, functional and dynamic teams. These teams are created and and managed differently.
Functional Teams: The core teams in your organization; what you would find in your organizational chart. Only WorkBoard Administrators can create Functional Teams. I.E. Sales, Marketing, Customer Success, Finance, etc. These Teams are viewable in theByOrganization - Teams, Alignment View.
Dynamic Teams (Working Groups):Teams that can be created by anyone and typically encompass cross-functional work, work done between one or more Functional Teams, or subsets of Functional Team Members. Working Groupsdo notappear in theOrganizationAlignment View; however, all Teams and their progress to achievement can be viewed in the Heatmap, or by simply searching for the Teams OKRs in the Objective Alignment View.
Note: When you create a Team, you are the Manager (owner) of that Team.
Learn more about how to create dynamic teams. Only WorkBoard Administrators are able to follow the instructions below to create & manage Functional Teams.
Critical Information Regarding Provisioning
If your organization is using Provisioning from another source (Workday, ADFS, OneLogin, Okta, etc.) then the creation and subsequent updating, or deletion of Functional Teams should come from those systems.
Verify this with your core program team, another WorkBoard Administrator, your SSO & Provisioning Administrator and/or WorkBoard (if necessary) before proceeding.
Archiving Teams can only be done manually, and is not available via Provisioning.
Create a Functional Team
- Click the 9 dot menu on the lefthand side of the page
- Click Admin tools
- Click on Org Structure
- Click on "+ Add New Team" and fill out the below fields:
- Optionally, double-click on a Functional Team and add a Sub-Team by typing in the name of the team and click the "+" next to it. You will automatically be made the Manager of the Team when you add a sub-team this way.
- The new Functional Team will appear in the hierarchy and will also be present in the Alignment View under By Organization > Teams.
Move Functional Teams
In some cases you may need to move a sub-teams around when functional team structures or organizational charts change. Follow the steps below to move Functional Teams:
- From the Administrator panel click on Org Structure
- Double-click on a Functional Team
- Click on the Kebab and select Edit parent teams.
Archive Teams as a WorkBoard Administrator
Archive a Functional Team:
- From the Administrator Panel click on Org Structure
- Double-click on a Functional Team
- Click on the Kebab in the upper right-hand corner and choose Archive.
- If the team in question has sub teams, you'll receive a popup asking if you want to archive the team.
- Choose whether to Archive all teams below or assign a new parent team for the existing sub teams
- Select Archive
Notes on Archiving Functional Teams:
- Archiving a (parent) top Team will archive all (children) Sub-Teams unless you move them under another team prior.
- A dialog box appears when you attempt to archive a functional team with sub-teams to inform you of this.
- Only Administrators can unarchive Functional Teams.
Archive a Dynamic Team (as an Admin)
- In the Administrator panel click on Dynamic Teams
- Click on the team
- Select Archive Team

Delete Teams as a WorkBoard Administrator
- Please be aware, that unless there is no data on the Team or the Team in question was created accidentally, we strongly recommend that you archive, rather than delete.
- All data (OKRs & Workstreams) associated with the Team and sub-teams will be deleted.
- You must manually move sub-teams you wish to keep.
- If you are undergoing Team transitions/mergers, we recommend you add users to their new team and then Archive their old team. See Archiving Teams above for more information.
- Alternatively you could move all of the OKRs and Workstreams on the Team and then delete it, but we recommend Archiving as the first solution.
Delete a Functional Team:
- Click on Org Structure
- Double-click on the Functional Team
- Click on the Kebab and select Delete
Delete a Dynamic Team
- Click on Dynamic Teams
- Click a team
- Click the Kebab
- Select Delete
- Confirm Deletion to proceed
Manage Team Member Permissions
As a WorkBoard Administrator you may have to add users to additional Teams or manually make another user the Manager of a Team when someone leaves the organization.
