Overview
The Workday integration enables system administrators to automatically sync WorkBoard check-in records to Workday, ensuring accurate tracking and documentation. The integration allows check-in conversations from WorkBoard, including OKRs, PACE Ratings, topics, and takeaways, to be uploaded as a PDF to the employee's Workday profile. This automation improves efficiency, reduces manual effort, and ensures compliance with reporting standards.
Prerequisites
- Admin Integration: A Workday System Admin must have integrated their WorkBoard account with their Workday account. The Workday Admin must be assigned an 'HR Admin' role in WorkBoard, which requires collaboration with the WorkBoard support team.
- WorkBoard & Workday HRIS Integration in Place: To successfully sync WorkBoard check-ins to Workday, the WorkBoard and Workday user sync must already be established. This integration ensures seamless data transfer and accurate user mapping between both systems.
Steps by Step Guide to Run the Integration
- Ensure the Check-In Cycle is Marked as Complete: Check-in records can only be uploaded after the cycle is marked complete and locked, so should only be done once all check-in conversations have taken place.
- Confirm Sync and Push Check-In Records: Admins can navigate to the completed check-in cycle and select ‘Publish to Workday’ from the kebab menu. Sync time varies based on the number of records being uploaded. Once the sync is complete, the system sends a confirmation email to the initiating admin, including a CSV log of all synced check-ins for verification.
Accessing the Records in Workday
- Retrieve Check-In Documents: Uploaded check-in records can be found in Worker Docs for each employee. Navigate to the employee’s profile, click Personal in the left navigation, and click on the Documents tab. There you will locate the PDF of the WorkBoard check-in, which includes conversation details stored as metadata.
- Rerunning the Sync: The integration supports retries and resyncs. If you rerun the integration, the previously uploaded record for that check-in cycle will be replaced in Workday.
Troubleshooting
If you encounter any issues during the sync process, consider the following:
- Ensure the check-in cycle is marked as complete.
- Verify that the HRIS WorkBoard & Workday integration is already in place.
- Review the CSV log for any discrepancies.
