Add action items

There are several ways to capture your own action items and route actions to colleagues in Workboard: through the Web and mobile apps, from your inbox, from Slack, with a text message and importing a whole batch of action items from a spreadsheet.

Add a simple Due Today list

From the My Work menu button, click to Today on the side pane. Type your action item in the first row on the table on the page, then press return. Add all the items you need to do today.

Action items have attributes like priority level, risk rating, effort, owner, due date and completion status. As you add items to your Today list, Workboard assumes they're due today. It also assumes the items are normal priority, normal effort level (rather than huge), green risk rating and are private. You can change any of these attributes by clicking on them.

If the items are part of a team effort, change the workstream to a team workstream by clicking Personal and selecting the right team and workstream -- that way everyone can see the status and you won't need to email each other for updates.

Create action item with detailed notes, images and checklist items

Use action items as "containers" for the whole job that needs to be done -- put any content that needs to be reviewed, revised or finalized and other details into the body of the action item. Click any action item in your Today or This Week list to add more detail. You can create a new detailed action item by clicking Add action item on the My Work dropdown menu or side pane.

Delegate or assign action items to someone else

To assign an existing action item to someone else on your Today list or in a workstream list, just click your name to see a list of other people. Search or select the person you want to route it to. You can see the status of items you've delegated on My Work > Actions I've Delegated so you have visibility without being a nag.

Quick add and keyboard shortcuts

There is a field at the top of your Workboard window that enables you to add action items without opening or clicking anything. Just type your action item in and hit return. Items added this way will default to your actions in your Personal Stream due today.


To add a different due date, use an exclamation mark in front of the date; typing !02/14 will set the due date to February 14th.

Use the @ symbol to assign it to someone, like @Priya or @Jeff.

To put the action item in a specific workstream, type # and the workstream name. As you type, you'll see a list of workstreams that match what you're typing. Use the up and down arrows on your keyboard to select a result or just click. The workstream will display as #EU Tax Regulations#.

Forward emails into Workboard

To move things you or someone on your team need to do out of your mailbox and into Workboard, forward the email to Workboard. Get the email address for your Workboard on your Preferences page and add it to your contacts. Just forward any emails you want to the address -- the body of the email (including long email chains) will go into the action item notes field and attachments will be added to the action item as well. The email subject line will be the action item name, so modify it if you want it to be more specific.

The action item will default to your Personal Stream.

Text action items into Workboard

All users can connect a mobile number to their accounts via the Preferences page. Once a phone number is associated with your account, you can text action items into Workboard. The action item will default to doing status, green confidence and your personal workstream with today as the due date.

Add action items from Slack

If you've enabled Slack integration, you can turn a decision or idea from a Slack discussion into a Workboard action item. Ask our friendly chatbot (nicknamed "WoBot") to "Add an action item" and it will walk you through delegating the action item, adding it to a workstream, and more. Or, if someone sends you an actionable chat message, convert it to an action item with a couple of clicks!

Use the Chrome Extension

Workboard's Chrome Extension allows you to view, add, and check off completed tasks on your daily Action Item list without switching browser tabs or navigating away.
