Roll Up Key Results

Overview

Create a Roll Up (Roll Up Key Results) if you are looking to aggregate multiple existing key results to calculate an overall achievement. For instance, a roll up key result could provide the Global sales pipeline by aggregating a key result for North America sales pipeline and another key result for EMEA sales pipeline.

Roll Up Key Results are a bottom-up approach, and provides a fantastic path to create alignment through the organization while also empowering teams to create results that move the needle.

When you Roll Up Key Results or Objectives, you're automatically adding the Objective (where the Key Result exists, if its a Roll Up of Key Results) as a dependency of your Objective.

Notes on Rolling Up Key Results

  • Rolling up percentage type Key Results with Currency or Number type Key Results provides you with a percentage value.
  • You can roll up as many Key Results as you'd like.

Steps

  1. Select Add another Key Result.
  2. Select Advanced Options.
    • If you entered the name of a Key Result and hit the Enter key, then simply select More Options and then Change Data Source Type.
  3. Under Other Key Results or Objectives select Roll-Up Key Results or Objective.
  4. Name your key result.
  5. Select Roll-Up Key Results.
  6. Search for specific Key Results
    • Just like when searching for Objectives in WorkBoard, you can search by Key Result Owner, Team, or name of the Key Result.
  7. After selecting your first Key Result, either select Done adding Key Results or Add Another Key Result.
  8. Choose to total or average out all of the values that you're aggregating.
  9. If all of the Key Results you've added have the same selection for Calculate Overall Progress for this Result as then you will be able to access Advanced Options.

Advanced Options

Calculating Progress Options

Advanced roll up calculation options will allow you to aggregate key results as if they were mapped on a spreadsheet, by lining up updates made to each child key result for each week or month interval. 

As such, you'll only the advanced options link activated if the results you are trying to roll up calculate progress the same way (last entered value, total etc.), and have the same update interval (weekly, monthly, etc).  

Follow the directions below to view/enable Advanced Options for your Roll Up of Key Results:

  1. Select Advanced Options
  2. You need to first decide how the parent key result's data values should be calculated for each week or month from the underlying child results:

    • Total of latest updates of the child results
    • Average of latest updates of the child results
  3. Click the drop-down for Calculate Weekly Progress for this Key Result As.
  4. You will then need to dictate how the overall progress from the roll up should be calculated based on the values generated from the child results. In this case, you can select the progress to be the:

    • Last entered value
    • Total of all the generated data values
    • Average of all the generated data values
  5. Click the dropdown for Calculate Overall Progress for this Result As and make a selection.


Adding a Multiplier

Use a multiplier to change the impact of single or multiple Key Results in a Roll Up. You can multiply the values of the Key Results by a decimal to change the overall value of the Key Result. 

Example:

If you want to compare something apples-to-apples, you can use a multiplier against a single key result and then roll up that roll up. Why would you want to do this? A multiplier is applied to all the Key Results you've added, so if you want a multiplier applied to a single Key Result, then you Roll Up the single KR and then Roll it up that Roll Up with the other Key Results.

Broad Steps:

  • Create a Roll Up of Key Results for the Key Result(s) that need a multiplier applied to normalize against other Key Results.
  • Create a Roll Up (of Key Results) where you roll up the Roll Up you just created with the multiplier applied to it, and the other Key Result(s) that don't require/need a multiplier.

Examples for calculating advanced roll-up results

For the examples below, we'll roll up two key results, QA testers hired and Developers hired.

Example 1:

Roll-up key result: Average of 2 New IT Hires Per Month
For this roll-up result, take the average of the source key results and measure progress from the last update.

(avg of 5 and 0)

In this example, the key result's current progress will be 3.

Example 2:

Roll-up key result: Total number of IT staff hired per month
Take the sum of the source key results and measure progress from the last update.

Total number of IT staff hired per month 4
(sum of 3 and 1)

(sum of 5 and 0)
6
(sum of 4 and 2)

In this example, the key result's current progress will be 6.

Example 3:

Roll-up key result: Total new IT hires
Take the sum of the source key results and sum the results.

(sum of 3 and 1)

(sum of 4 and 2)

In this example, the key result's current progress will be 15 (4+5+6).

Example 4:

Roll-up key result: Average number of new IT hires per month
Take the sum of the latest updates to the source key results and average the results.

Average number of new IT hires per month 4
(sum of 3 and 1)
5
(sum of 5 and 0)
6
(sum of 4 and 2)

In this example, the key result's current progress will be 5 (average of 4, 5 and 6).
